Welcome back to Prompt, Tinker, Innovate—my weekly AI playground.

If you’re new here: this isn’t theory. It’s tools, prompts, and live experiments to help you think better, lead sharper, and dodge the slow-moving traps most orgs fall into.

The real cost of “just another meeting”

Big meetings—kickoffs, offsites, strategy sessions—are expensive.

Even if you’re not flying people in, you’re pulling them away from their day jobs. For hours. Sometimes days. That’s attention, momentum, and opportunity cost…gone.

And for what? A wall of updates no one retains because the format kills attention.

Most agendas fall into one of two traps:

  1. Death by PowerPoint: Endless slide decks that drain energy

  2. Forced “fun”: Icebreakers and trust falls that feel disconnected from the work

The result? High cost, low return.

You need a third way: an agenda that fuses strategy, energy, and culture into a clear narrative—one your team can actually use and walk away fired up to perform at their best.

There’s a better way to build high-stakes agendas

The default playbook? Copy last year’s meeting, change the dates, swap in “2025 goals,” and hope it lands.

It doesn’t. That’s how you get a Frankenstein agenda—a stitched-together schedule that lacks flow, purpose, or energy.

To design meetings that deliver—ones that align your team, energize them, and set the tone for execution—use AI as your Organizational Psychologist + Event Strategist.

Feed it the right inputs:

  • Your team’s current vibe

  • The strategic focus

  • Any unspoken tensions or shifts in dynamics

And ask it to help you architect an agenda with emotional intelligence, energy flow, and performance baked in.

This week’s AI experiment: Try this prompt

👉 Time to tinker: Whether you’re planning a kickoff or a QBR, use this to design a meeting that works using your favorite AI tool.

📝 Prompt: "Act as an expert Facilitator and Event Strategist. I need to plan a [Number of Days]-day team meeting for my [Department Name] team of [Number of People].

Context:

  • Primary business goal: [e.g., Launching a new product, shifting to profitability, team restructure]

  • Team vibe: [e.g., Tired, excited but anxious, new team]

  • Location: [e.g., Zoom, Chicago hotel, Hybrid]

Challenge:

Avoid 'Death by PowerPoint.' Mix high-energy collaboration, strategy deep-dives, and real team connection (no cheesy games).

Please provide:

  1. A full Day-by-Day, Hour-by-Hour Agenda that considers energy levels

  2. Creative, specific session titles

  3. One “Signature Experience” that ties our business goal to a bonding activity

  4. A quick explanation of why this agenda flows the way it does"

💡Pro tips: Don’t just accept the first draft.

Once the AI gives you its agenda, challenge it. Look for weak spots. If a block feels flat, say:

  1. “Rewrite this 2-hour slot as a collaborative workshop. No passive content. I want energy and engagement.”

  2. “This feels like filler. Reframe it as a decision-making session where we solve a real business problem together.”

  3. “What’s the red thread that connects all these sessions? Propose a unifying theme or narrative arc that gives the agenda emotional and strategic cohesion.”

Push until every session earns attention—and drives execution.

What did you discover?

Did the AI suggest a session format you hadn't considered? Did it catch a timing issue (like scheduling a heavy finance review at 4:00 PM on a Friday)?

I’d love to hear how you’re shaking up the standard meeting format. Reply to this newsletter or drop a comment—let’s swap ideas on the "Signature Experience" the AI gave you.

Until next time...Keep tinkering, keep prompting, keep innovating.
